This is the 9th IPCRG Scientific Meeting and is being hosted and organised by PCRS, together with the IPCRG. We are grateful to our sponsors and exhibitors who have contributed funding towards the event in return for exhibition space, and/or other marketing opportunities. Registration

How do I register for the Meeting

Visit our registration page in the menu above for full registration information.

How can I pay the registration fees?

Payment of registrations fees can be made by credit or debit card at the time of registration, or UK bank transfer. Registration is available for payment in British Pounds Sterling or Euros.

What does my registration fee include?

The standard registration entitlements for your applicable registration are the following

  • Participation in Meeting Programme and Exhibition
  • Delegates material and documentation
  • Certificate of Attendance (electronic)
  • Refreshments during breaks as per Meeting Programme

Additional registration options include the meeting dinner and research school.

Can I register onsite?

Unless the meeting is fully subscribed, onsite registration is available during the Meeting days, but cannot be guaranteed. We recommend registering prior to travelling to avoid disappointment.

Will I receive a confirmation letter after I have finished registering?

A detailed booking confirmation email will be sent as soon as your registration is completed.

Can I receive an invoice/ receipt under the University/ Institute/ Company's name?

During the registration process, you are required to insert Billing Details, this information will appear on the invoice/ receipt you will receive by email within one month after your payment is complete.

In case of any change of the information requested after the issuance of the invoice/ receipt, there will be a handling fee of £20 for the re-issuance of the invoice/ receipt.

Can I cancel my registration or make any alterations?

Any cancellation or alteration of your registration must be sent in writing by e-mail to info@pcrs-uk.org, and will be subject to the following conditions:

  • Cancellation received up to and including 19th March 2027: full refund less a £50 for administration fee
  • Cancellation received after 19th March 2027 onwards: No refund applies

All refunds will be processed within two (2) weeks after the end of the Meeting. Bank charges will be deducted.

Alterations / Name changes

  • Until 19th March 2027: name changes can be made with no additional charge.
  • Between 20th March and 31st March 2027: name changes will be charged with £20 administrative fee.
  • After 1st April 2027: name changes will be charged with £50 administrative fee.
  • No-shows will be charged with the full fee.

Abstracts

Can I submit an abstract and present it virtually – is this possible?

Physical presence of presenters is required. Unfortunately, there is no option for online presentation.

Can I amend my abstract with new data?

Minor modifications to reflect new data are allowed for your abstract. You can update your abstract by following the email link you will receive once your abstract has been submitted. Alternatively, you can update your presentation only with your new data.

I have submitted an abstract – when can I expect my notification whether it has been accepted or not?

For abstracts submitted by Tuesday 1st December 2026, the decision will be notified by Friday 18th December 2026. Notification of acceptance or rejection of the abstract will be sent to the corresponding author of each abstract by 27th January 2027. If you have not received notification of the status of your abstract, email events@ipcrg.org.

When will the Meeting programme be announced?

Full details of the meeting programme will be available after the 31st January 2027 and published online.

I am keen on receiving the abstract book of the Meeting. Where can I find it?

As part of our commitment to reducing environmental impact and supporting more sustainable ways of working, we will not be producing a printed handbook of abstracts for delegates. All accepted abstracts will be available online via the conference website, where they can be viewed, downloaded and printed if required. This approach helps to reduce paper consumption and waste while ensuring delegates continue to have easy access to the full abstract content before, during and after the meeting.

Abstracts will be available on the main IPCRG website www.ipcrg.org/resources

Accommodation

How can I find out information about hotels close to the Meeting Venue?

Accommodation is not included in the registration package and needs to be booked separately by delegates. Please visit our accommodation page for useful links and advice regarding accommodation options.

Visa Applications

How do I apply for a visa?
  • You may need a VISA or electronic travel authorisation (ETA) to travel to the UK.   You can find out if this is required by visiting this website - Check if you need a UK visa 
  • IPCRG and PCRS are not responsible for arranging travel, visas, electronic travel authorisations (ETAs), or any other entry requirements. 
  • Failure to obtain the necessary documentation will not entitle the delegate to a refund or compensation from IPCRG or PCRS. 
I need a visa invitation letter in order to facilitate my visa application process, how can I get one?

Participants requiring an official Invitation Letter in order to attend the 9th IPCRG Scientific Meeting, should tick the appropriate box during their online registration process - a standard Letter will be sent to you upon your registration. This service is provided only to assist participants who are required to obtain a visa or permission to attend the Meeting. It should not be considered as an official invitation covering fees or any other expenses.

Please note that invitation letters are issued only for those participants who have completed the registration process (paid registration fees).

Please note that in case of Visa refusal, full refund (minus £50 which applies for administration fees) of the paid registration fee will apply, on the occasion that notification to the Organising Secretariat is made up to two (2) months prior to the meeting dates (up to 19 February 2027). Notification to the Meeting secretariat must be made by e-mail at events@ipcrg.org including the official visa refusal letter.

Can the Meeting Organising Secretariat send an official visa invitation letter directly to my Local Consulate/ Authority?

Unfortunately, the Meeting Organising Secretariat is unable to send visa invitation letters directly to Consulates/ Authorities. Visa invitation letters are prepared solely for delegates and are forwarded to them by email.

Do I need an ETA to travel to the UK

All non-UK and Irish citizens need to apply for an Electronic Travel Authorisation (ETA) and ensure that they have a valid passport. An ETA costs £20 to apply on the website or through the UK ETA app. 

Use only the UK government website or apply on the UK ETA app. Avoid using third party providers who will charge you more and can complicate or slow down the process. You cannot get a refund after you apply. It takes a few minutes to apply and a decision can take 3 days to receive. 

You will need:

  • the passport you’ll travel with
  • a credit card, debit card, Apple Pay or Google Pay
  • a photo of the passport
  • a photo of the face of the person applying
What are the requirements for my passport when travelling to the UK

You need a valid passport (not an EU identity card) to travel to the UK. This must be valid for the entire duration of your stay. If you are travelling through the EU on a non EU passport then your passport will need to be valid for 3 months after your travel. Some individuals report problems with travel companies when visiting the EU if their passport is valid for less than 6 months after their visit, so we would advise checking this first or ensuring that your passport is valid for 6 months after your journey.

Where is the Meeting taking place?

The 9th IPCRG Scientific Meeting will take place at the Lady Margaret Hall, Norham Gardens, Oxford, OX2 6QA google.com/maps

 

How can I get to the Meeting venue?

Lady Margaret Hall is committed to sustainable travel and encourages the use of energy efficient public and shared transport, bicycles and walking for visitors travelling to the College. By discouraging unnecessary travel and the use of private motor transport, the College aims to reduce its carbon emissions in line with their Environmental Sustainability Policy and reduce traffic and congestion in the Oxford area. The College is located to the North of the city centre, adjacent to the University Parks at: Norham Gardens, Oxford, OX2 6QA.

Cycle to the venue:  Oxford is a cyclist’s dream city, with its flat terrain, picturesque streets, and abundant cycle paths. Unlike navigating by car or public transport, biking lets you experience the city’s charm up close while avoiding traffic and parking hassles.  The College is approximately a 6-minute cycle ride or 20-minute walk from the City Centre.  There are a number of outlets that hire out bicycles including Bainton Bikes, Donkey Republic, OxBykes.  If you are cycling to Lady Margaret Hall, the Porters’ Lodge will be able to direct to you to bike sheds on site. The College provide cycle pumps and tools at the Lodge, as well as details of local cycle repair services.

Bus to the venue: The following bus services stop at Banbury Road the closest stop to the College, linking the city centre with North Oxford and Oxfordshire:

Travelling to the meeting venue by car:  There is no parking onsite at the College. If you are travelling to Oxford by car you can use one of Oxford’s five Park & Ride sites located around the city’s ring road.

  • From the North: Water Eaton or Pear Tree – accessed from A40, A34 and M40 M40 Junction 8 
  • From the East/South: Thornhill – London Road (A40) 
  • From the South: Redbridge – located off the A34 
  • From the West: Seacourt – located off the A420

This meeting is not accredited for CME credits. All delegates will be issued with a certificate of attendance for inclusion in their professional portfolio.
